Human Resources Assistant

Human Resources Assistant in Caracas: DRC is currently looking for a highly qualified person for the position of Human Resources Assistant, based in Caracas, Venezuela.

The Danish Refugee Council (DRC) is one of the world’s leading humanitarian NGOs, working in more than 40 countries to provide assistance with a rights-based approach to refugees, asylum seekers, internally displaced persons, returnees and other people in mobility, as well as vulnerable local populations/host communities.

Objective of the position: The Human Resources Assistant will be responsible for providing administrative, operational and/or technical support in the processes of the DRC operation when the operation requires it, in accordance with the internal framework of DRC Venezuela, the regulations imposed by the donors and Venezuelan regulations; under the supervision of the Head of Support Services and the technical supervision of the Human Resources Coordinator of DRC Venezuela.

Responsibilities:

Recruitment, compensation and benefits:

  • Assist in recruitment and selection processes. Follow-up of candidates, sending of technical tests, document collection, updating of the selection tool (HR Recruiter) and support in the different steps of the selection, hiring and entry process of new personnel.
  • Support in the feeding of the ERP system in relation to the Human Resources module.
  • Support the reception and review of payroll news at the National Office level.
  • Provide support to the area and management of employee benefits.

Planning, performance, development and well-being of people:

  • Create profiles of new collaborators in ERP Dynamics.
  • Make the Request for Contracts and Others.
  • Request licenses and support new collaborators with user activation.
  • Submit hiring documents and ensure the creation of the employee file.
  • Request credentials for collaborators.
  • Execute the process of adhesion of collaborators in the Private Medical Insurance.
  • Support in the registration, updating and management of disabilities.
  • Support administrative tasks related to the performance evaluation process, training and corporate induction.
  • Support in reception activities and updating of office organization charts in Caracas
  • Logistical support in the development of well-being and learning and development activities (invitations, attendance control, materials, COVID, etc.).

Facturación y Viajes:

  • Manage the purchase and reservation of staff hotels according to the existing procedure.
  • Execute the purchase and management of tickets for the trips of the personnel of the Office of the Bases and Expatriates.
  • Serve as Focal Point at the Caracas level for the consolidation of the travel and lodging process in order to ensure that the greatest efficiencies are achieved for the organization.

Others:

  • Support the activities of Human Resources of Venezuela when the level of the operation requires it.

Management of Support to the area of Safety, Hygiene and Health at Work:

Provide support to the Security area in relation to reports associated with personnel movements, travel reports and other reports that must be delivered for proper compliance with Security processes-

Experiences and skills:

  • Minimum one (1) year of work experience performing Human Resources administrative tasks, preferably related to an NGO or other non-profit organization
  • Good knowledge of Microsoft Office programs (Excel, Word and Power Point)
  • Cultural sensitivity and ability to work in an intercultural environment
  • Ability to handle sensitive and confidential information
  • Capacity for teamwork
  • Organizational and planning skills
  • Strong interpersonal and intercultural and communication skills both oral and written
  • Will and ability to learn

Education

Professional in Administrative Sciences, Occupational Health, Psychology with organizational emphasis or related.
